When organisations first introduce lone worker protection, the priority is often to put practical measures in place that reduce risk and demonstrate their duty of care. For organisations operating across multiple sites, that usually means looking for a solution that is straightforward to deploy, easy to manage and can be adopted consistently across the business.
Several years ago, we helped a large UK manufacturer standardise lone worker safety across almost twenty sites. Looking back, the project taught us some valuable lessons. Some reinforced what we already believed, while others only became apparent once the solution had been rolled out and had become part of day-to-day operations.
The technology played an important role, but the success of the project depended just as much on understanding how each site worked, encouraging people to use the solution consistently and adapting it to support operational needs.
Why Organisations Standardise Multi-Site Lone Worker Safety
The organisation already had lone worker devices deployed at several sites. Employees could raise an alarm, which would send text messages and telephone calls to nominated responders. It was a straightforward solution that gave sites an initial level of protection and demonstrated they were taking lone worker safety seriously.
However, because each site managed its own devices independently, the site's Health & Safety team had very little visibility of how effectively the solution was actually being used.
Were lone worker devices switched on?
Were employees carrying them when they should have been?
If an alarm was triggered, who received it?
Who acknowledged the alarm?
How was the incident managed?
The answers to those questions weren't available centrally.
At the same time, the Group Health & Safety Manager believed there were more lone workers across the organisation than some individual sites recognised. Following a serious incident elsewhere within the wider business several years earlier, there was a growing desire to ensure that appropriate measures were in place across every UK site. The objective wasn't simply to purchase more technology. It was to create a consistent approach to protecting lone workers while giving the organisation greater confidence that those measures were actually being used.
Why Visibility Matters in Multi-Site Lone Worker Safety
One of the biggest drivers behind the project wasn't replacing the lone worker devices themselves. It was providing visibility.
Moving to a central cloud-based platform meant each site's Health & Safety team could finally see how lone worker protection was operating across the organisation. Device activity, alarm history, acknowledgements and responder actions could all be viewed centrally. Changes to responder groups no longer required devices to be returned and reconfigured individually, while each site retained the flexibility to manage alarms in the way that best suited its own operations.
Just as importantly, the organisation could demonstrate that its lone worker procedures were being followed. If an incident ever needed reviewing, there was a clear audit trail showing how alarms had been managed.
Rather than relying on assumptions, the business could now understand how the system was being used and where further improvements might be needed.
Rolling Out a Consistent Lone Worker Safety Process
Once the platform had been configured, the rollout itself followed a structured process.
Working with each site, responder groups and alarm workflows were agreed before devices were configured centrally and prepared for deployment. Training was then delivered across the country using the same training materials and consistent messaging, ensuring every site understood not only how to use the technology but also the procedures that sat behind it.
Although every site operated slightly differently, they all followed the same overarching approach to managing lone worker alarms. That consistency gave the Group Health & Safety team confidence that every location was working to the same standard while still allowing individual sites to tailor alarm workflows to suit their own operational requirements.

Lessons Learned After a Multi-Site Lone Worker Rollout
The most valuable lessons only emerged once the solution had been embedded into everyday operations.
Every site initially used a small pool of lone worker devices, usually stored at reception or another central location. Employees would collect a device before carrying out a task identified through the site's risk assessment as requiring lone worker protection before returning it once the task had been completed.
From a cost perspective, it made perfect sense.
Operationally, however, it proved less effective than expected.
If someone started their shift working alongside colleagues before later carrying out a task alone, they first needed to return to collect a lone worker device. As workloads increased or tasks became routine, that extra step was sometimes forgotten or overlooked.
The technology wasn't the problem.
The process simply didn't fit naturally into the way some people worked.
Several sites recognised this themselves and decided to purchase additional devices so that employees identified through the risk assessment carried one throughout their shift rather than only collecting it when lone working was about to begin.
That relatively small change made a noticeable difference because lone worker protection became part of the working day rather than an additional task to remember.
Every Successful Site Had a Champion
One lesson we've seen on many projects was reinforced throughout this rollout.
The sites that embraced the solution all had someone who genuinely believed in its importance.
Sometimes that was the local Health & Safety Manager. Sometimes it was an Engineering Manager, Maintenance Manager or Operations Manager. Whoever it was, they took ownership of the solution and continued refining it after deployment.
Small improvements often made a significant difference. Response teams were adjusted as working practices evolved. Some sites recognised that the people best placed to respond to an incident were often other lone workers working nearby, leading to changes in both responder groups and the devices being used. Others requested additional devices so that protection became easier to integrate into everyday work.
None of these changes required a major redesign.
They simply reflected a willingness to adapt the solution as the site's operational needs changed.
What We'd Do Differently Today
Technology has evolved considerably since this project was delivered, but the biggest lesson remains highly relevant.
If we were delivering the same rollout today, we would think much more carefully about the role the communication device plays in the employee's everyday work.
Rather than relying on dedicated lone worker devices wherever possible, we'd look at whether lone worker protection could sit alongside the communication tools employees already depend on. Whether that's an IP DECT handset, a rugged smartphone, a Push-to-Talk device or a two-way radio, combining communication with lone worker protection makes it far more likely that the device will already be with the user when they need it.
That approach won't be right for every organisation, but where it is appropriate it removes one more barrier to adoption. Instead of asking employees to remember another piece of equipment for certain tasks, the same device supports them throughout the working day while also providing access to help if something goes wrong.
The Learning Doesn't Stop After Implementation
Technology isn't the only thing that has changed since this project was delivered. Our experience from subsequent lone worker projects has also reinforced the importance of continuing to review how a solution is working after implementation.
Ongoing conversations with customers have led to changes in how alarms are triggered and managed. In some cases, customers have wanted lone worker protection to reflect particular higher-risk tasks rather than simply relying on fixed periods of time. In others, questions raised during health and safety audits have highlighted the need to demonstrate that lone worker systems are being regularly tested, creating a requirement for a clear test process and audit trail without generating unnecessary live alarms.
The same conversations can also identify opportunities to bring other critical alarms into a common response process. Lone worker, gas, fire or equipment alarms may originate from very different systems, but the fundamental requirement is often similar: ensure the right people receive useful information quickly, can acknowledge the alarm and know what action to take.
The lesson from these projects is that standardisation shouldn't mean creating a process and refusing to change it. A consistent framework provides the foundation, but regular engagement with sites and users allows the solution to adapt as risks, regulations and operational requirements change.
Standardise Protection, Not Technology
Looking back, the biggest lesson from this project wasn't about cloud platforms or lone worker devices.
It was about creating a solution that people would genuinely use.
Standardising lone worker safety doesn't mean every site must have identical technology. Different environments, different risks and different working practices will often require different communication tools.
What should remain consistent is the level of protection employees receive, the way alarms are managed and the confidence that, if someone needs help, the right people will receive the right information and know how to respond.
Technology will continue to evolve, but that principle remains the same.
Ultimately, the goal isn't to standardise technology.
It's to standardise protection.
Creating a Consistent Approach to Lone Worker Safety
